Privacy policy
How Floorshow handles personal information through the Floorshow website and the tools we provide to venues and agents.
1. Who this covers
- People who visit this website.
- People who ask for a demo or a fee check, usually venue owners, managers and staff.
- People who apply to be agents, and our agents.
- Venue staff who use our box office, door app and reports.
If you buy tickets through a venue that uses Floorshow, the privacy notice linked from that venue’s checkout explains how your order is handled. When we handle guest orders, we do it on the venue’s behalf, and we don’t sell guest information.
2. What we collect
What you give us.
- Contact details: your name, email, phone number, venue name, city and state, and your role.
- What you tell us in a form: how you sell tickets today, the size of your room, how many shows you run, your messages, and any statement you send for a fee check.
- Agent applications: your experience, the kinds of rooms you know, your LinkedIn profile if you share it, whether you work for a ticketing, reservations or venue-software company, and whether an agreement limits who you can contact.
- For agents who sign: your agreement records, the tax form we need before paying commission (a Form W-9, which includes a tax ID), and how you’d like to be paid.
- For venues: the business details, floor plans, photos, show information and policies you give us. Your Stripe account is set up with Stripe; we see its status and the payment records for your sales, not your full bank or card details.
- Accounts: your email, name and role, and a record of sign-ins (when, and the IP address and browser used). Sign-in codes expire within minutes and we store them only in scrambled form; the email that carries a code keeps it for a day.
- For agents: when you sign in and which materials you open, so we can see what helps.
- What you do in our tools, such as check-ins, refunds, notes and room registrations, so the service works and keeps a record.
- Messages you send us by email or through our tools.
What we collect automatically. Technical details such as IP address, browser and device type, and the pages requested and when, kept in server logs for security, to limit abuse and to fix problems. Where we use an IP address to limit abuse, we keep it in scrambled form. The Site uses only the cookies it needs to work; see Cookies.
What we get from others.
- Public sources: we research venues from public information, such as their websites, listings and news, to see whether Floorshow fits them and to prepare demos.
- Public professional information about people who run venues and people we may invite to be agents, such as their role, published interviews and professional profiles, to know who to contact and what matters to them.
- Business contact providers: work contact details for people at venues, from business contact databases.
- Agents: when an agent introduces a venue, the venue’s name and location and the contacts the agent gives us.
- Stripe: for venues, account status and the records of payments, refunds, disputes and payouts.
3. How we use it
- To reply to you, prepare and run demos and fee checks, and follow up.
- To consider agent applications, check for conflicts (such as two agents and one venue), work with agents and pay commission.
- To set up and run our service for venues and agents, including support on show nights.
- To keep the service secure, prevent fraud and abuse, and fix problems.
- To send service messages, such as sign-in codes and account and security notices, and to send business contacts occasional news about Floorshow. You can stop the news at any time; service messages continue while you have an account.
- To improve our products, using aggregated or de-identified information where we can.
- To meet legal, tax and accounting duties and enforce our agreements.
4. AI tools
We use AI services to help run the business, for example to draft replies, summarize our research, and answer guests’ and staff’s questions in our products. Our contracts with these providers don’t let them use the information we send to train their models. AI features in our products tell people they’re talking with an AI. A person decides on every agent application and every venue we work with.
5. Who we share it with
- Service providers that host and run the Site and our tools, such as cloud hosting, database, email delivery, AI and payment services, only to do that work for us and under contracts that protect the information.
- Stripe, when a venue connects or uses its Stripe account.
- Agents and venues: if an agent introduced your venue, the agent sees your venue’s name, the contacts they gave us and where things stand with us, and once you’re selling, the ticket figures their commission is based on. Agents don’t see your guests’ details.
- Your own team: staff a venue invites see what their role allows.
- For legal reasons: to follow the law or legal process, to protect rights, property and safety, or to enforce our agreements.
- In a business transfer: if we’re part of a merger, sale or reorganization, with this policy’s protections continuing.
- With your permission.
We don’t sell personal information, and we don’t share it for targeted advertising. If that ever changes, we’ll update this policy first and give you a way to opt out, and we’ll honor browser signals such as Global Privacy Control.
6. How long we keep it
| Information | How long |
|---|---|
| Demo and fee-check requests | Up to 3 years after our last contact, unless you become a customer |
| Agent applications we don’t take forward | Up to 2 years after we decide |
| Agent agreements, tax forms and commission records | The life of the agreement plus 7 years |
| Venue account records | The life of the account plus 7 years |
| Ticket orders | 7 years after the show |
| AI box office conversations | 12 months |
| Sign-in codes | Deleted a day after they expire; the code leaves its email after a day |
| Sign-in sessions | Deleted 30 days after they end |
| Server logs | Up to 30 days |
We may keep information longer when the law requires it or to resolve a dispute.
7. Security
We encrypt information in transit, keep each venue’s information separate from every other venue’s, limit who on our side can see it, and use one-time sign-in codes instead of passwords. No system is perfectly secure; if a breach affects your information, we’ll tell you as the law requires.
8. Your choices and rights
- Stop our news emails with the unsubscribe link or by writing to us.
- Ask to see, correct, delete or get a copy of your personal information, by writing to us. We’ll answer within 45 days and may need to confirm who you are first. Someone you authorize can ask for you.
- If we turn down your request, you can appeal by replying to our answer. If we turn down the appeal, you can contact your state’s attorney general.
Depending on where you live, including Texas and California, the law may give you these rights; we offer them to everyone. Some information we have to keep, such as tax and contract records, and we’ll tell you if that applies. We won’t treat you differently for using your rights.
9. Children
The Site is for businesses and isn’t meant for children. We don’t knowingly collect personal information through it from anyone under 18.
10. Changes and contact
We store and process information in the United States. We’ll post any changes to this policy here with a new date, and tell account holders by email about significant ones.
